Why are employee survey prices so difficult to compare?

Employee or participant pricing

Dedicated engagement platforms commonly charge for every employee or user in scope. This is straightforward at a stable headcount, but annual commitments, minimum spends, and tier changes can matter more than the displayed monthly equivalent.

Administrator-seat pricing

General survey platforms may charge for the people who build and analyse surveys rather than the people answering. SurveyMonkey's Team Advantage price, for example, starts with three full-access users. That can make the licence appear inexpensive for a large workforce, but it says nothing about the HR time or employee-survey safeguards still required.

Response or usage pricing

Some research products meter responses, interactions, or planned usage. Check what happens when a survey exceeds the allowance, whether incomplete responses count, and whether another survey during the same term consumes the same pool.

Quote-based annual pricing

Culture Amp says its price depends on employee count, product, and service tier and that all products are billed annually. Qualtrics asks buyers to request pricing and states that Employee Experience pricing is based on the number of employees in the organisation. Neither publishes a dollar amount that can responsibly be inserted into a comparison table.

“Contact sales” does not mean a product is overpriced. It means you need a written quote before you can compare it.

What should a vendor quote include?

Ask every provider to show the same cost horizon. A useful request is:

Please provide the total first-year cost and the expected renewal cost for our current employee count, including all mandatory licences, minimum commitments, implementation, support, training, and the survey/reporting features demonstrated to us.

Then check:

  1. Contract term: monthly, annual, or multi-year.
  2. Billing population: all employees, invited participants, completed responses, or administrator seats.
  3. Minimum spend: the smallest invoice regardless of headcount.
  4. Implementation: data setup, HRIS work, templates, training, and launch support.
  5. Reporting: dashboards only, downloadable data, a finished report, or an analyst presentation.
  6. Written feedback: raw comments, automated summaries, human coding, or privacy-safe findings.
  7. Support: self-service documentation, general support, dedicated success, or consulting hours.
  8. Renewal mechanics: automatic increases, headcount true-ups, and expected year-two pricing.

A $4 monthly-equivalent rate on an annual contract is not interchangeable with a $4 cancellable monthly service. A platform licence is not interchangeable with a consultant delivering a board presentation.

How much does the DIY route really cost?

If your organisation already pays for Google Workspace, Google Forms may add no separate licence fee. That makes it a rational option for low-stakes questionnaires and simple process checks.

This is a planning example, not an industry benchmark.

Use this formula:

Total DIY cost = software cost + internal hours × loaded hourly cost + specialist support

At a worked loaded cost of $70 per hour, 19-34 hours becomes $1,330-$2,380 of internal time before any external privacy, legal, translation, or design support. Substitute your own rate and expected hours; the point is to make the labour visible.

DIY can still be the cheapest sensible choice when:

  • The questions are low sensitivity.
  • Individual answers are expected rather than promised anonymous.
  • No protected group analysis is needed.
  • Written responses are limited or non-sensitive.
  • The organisation already has survey, analysis, and privacy expertise.
  • A polished leadership report is unnecessary.

The licence cost can be zero. The finished survey process cannot be assumed to be zero-effort.

How much does a survey consultant cost?

There is no single honest consultant price. A short review of an existing questionnaire, a fully managed culture survey, and a programme including interviews, workshops, and executive facilitation are different purchases.

Instead of relying on a generic day rate, ask for a fixed scope that says whether the fee includes:

  • Survey objectives and question design.
  • Participant data preparation.
  • Invitations, reminders, and delivery support.
  • Anonymity and small-group reporting rules.
  • Quantitative analysis and written-feedback coding.
  • A final report and executive presentation.
